Is it possible to take an event registration page offline?

Sorry if this is a repeat question but I have a Event that is getting close to its soft limit of users (500 people)

Once I hit this number is there a way I can take the event offline so users can no longer register?

Currently, there is no way to set a registration "limit" and shut it off when that limit is reached.

One other thing I meant to mention-- we typically see an attrition rate of 50-60% on events. So if you have 500 participants, most likely only 250 will show up so I always suggest allowing for extra registrants.

I had to custom code an coldfusion app to do this. Your other option is to set the "end time" of the event to yesterday. The downside of doing  this is that you "close" the event. Which can adversly affect your automatic email reminders.

The way we have dealt with when we see that we are reaching the maximum number of enrollments we can accommodate given the number of licenses we have, we go into the event parameters and set the flag labeled "Event attendees require approval after registration".  Therefore, it doesn't trigger the automated confirmation e-mail.  You can then configure a "denied" e-mail message.  When you go in and change the status of their registration from pending to denied they receive that e-mail.  Of course, the downside is that they don't get the notice that they are being denied registration until after they have already given you their contact information so you will want to take that into consideration before using this method.

On the one occasion where we've needed to do this, our "denied" e-mail message said that due to the high level of interest in the program that we had reached our capacity and that an "encore" presentation was being scheduled and they would be notified (and automatically registered for it) once the date/time were finalized.

Thank you everyone for your help on this.  As Amy said we had around 600 users register but only 375 attended. We have a CF server so I might have to looking to developing an app to do the checks on the number of attendees.  Thank you everyone for your responses!

Just wanted to post a quick follow-up to let you know about our solution, ConferenceEdge.  With our software you can limit the number of registrations (moving later registrants to a wait-list) as well as manage actual event capacity with our redirect linking technology.

If you have a room with a 500 person capacity we can actually redirect people through to the room (guest or authenticated) and when you've reached your capacity limit we stop and output a custom message to the user.

This may not be a problem if you have 600 people register and only 375 show up, but if you have 1,000 register or your room is only 200 capacity it can be of great use.

Just an FYI.

Let me provide a little assistance here.
If you are using the Adobe event module, you are certainly aware that you can group content in folders.

What I like to teach users to do is to:
1 - create similar events in a folder.  This makes publishing the FOLDER an easy way to distribute a list of upcoming events to your prospects.  You just email the FOLDER url, and they'll see all upcoming events.

2 - create a "full events" folder. As you notice your event has reached your max - and it would probably be something like "125%" of your capacity since there are more often than not a large number of no-shows.... you simply MOVE that event into the "full events" folder.  Users visiting the published list of events folder will no longer see this event as available for registration.

I am just posting to this to see if anyone knows if there is any further resolution.  It is really a pain.  I actually get a very high rate of register vs. attendee.  This seems silly to not be able to just set the number you want to let register in the system.  Most of my larger classes are outside guest speakers that do a one-time only engagement. I now have added in their contract that we are allowed to have the recorded class up for 48 hours following so my overflow has access to the link.  Managing this system is a very low percentage of my job, but things like this make it take a lot of time!

The events module of Connect is fairly antique, in software terms. So as of right now, the above mentioned solutions are the best that is out there.

However, as I understand it, Connect 9 should be a full face lift, and should include a re-vamping of all the modules of Connect. We can hope that a registration limit, wait listing and alternate events will be a part of C9. Doesn't hurt to put your wishes for the events system in the Suggestions for Adobe Connect forums.

I wonder if you could change the end time to close registration and then later change it again to allow automatic reminders go out.

Or change the end date and export the participant list and manually send reminders. But that somewhat takes away the value of the Events Module.

Edit - I just tried this. I changed the date to now to close registration. Later I changed the end date to a 1/2 hour ahead. I then went to Participant Management/Send Invitation and changed the text of the invitation to a reminder.
