Why do participants with username and password have to be "accepted?"

Our participants have a username (email) and password. The url has been made available to friends who may not have registered to get a password. Is it possible to let all people who have a password to go directly to the meeting?

In two of the three permissions settings for the room, this will be the normal workflow. To understand how the permissions for the Meeting rooms work it is best to think of the rooms as a virtual represenation of a physical room.

The three settings for access for a Meeting room are:

- Anyone who has the URL for the meeting can enter the room - With this setting your room has an open door. All that users need to do to get in is fill out a name tag (username and password or guest name) and they can come into the room. As the Host you won't be prompted with any requests to enter.

- Only registered users and accepted guests may enter the room - Now you have a bouncer who is standing at the door to your room. This bouncer will see if someone is on the list of predefined users. If they are then they are allowed in the room without the host seeing anything. If they are not on the list or joining as a guest, then the meeting host will be asked to accept or deny entry for that individual

- Only registered users may enter the room (Guest access is blocked) - Similar to the above setting but the option to join as a guest is removed. Attendees must use a username and password to join the room.

So, you just need to set whatever level of accesss you desire for your room. These permission settings can be changed at any time and access to the room may be restricted further using the Manage Access and Entry options in the Meeting menu within the room.

Oh, there is one more setting that can be enabled, which is to set a password for the room. This needs to be turned on by going to Administration > Users and Groups > Edit Login and Password Policies. Toward the bottom of the page you'll see a section for Room Passcode. The first check box enables the option of using room passcodes, the second check box forces the use of room passcodes.

To meet your request of a single password for everyone to use to join the room, I would enable the option to use a room passcode and then set the room to Anyone who has the URL for the meeting can enter and put a password on the room. This way anyone can join with a username and password or as a guest but then they must know the password for the room. If they know the room password then they are allowed in. If they don't, then they are denied access. But either way the host of the room is not prompted to accept or decline entry.
